Receptionist/Membership Clerk

Position summary:
We are seeking a qualified candidate for the position of Receptionist/Membership Clerk. The successful individual will be responsible for managing front desk reception duties and supporting documentation related to births, deaths, and estates registration in compliance with Indigenous Services Canada requirements. Reporting directly to the Administration/Community Relations Manager, this is a full-time, permanent role.
Preferred qualifications:
- Grade 12 diploma or equivalent
- Previous experience in a receptionist or administrative role preferred
- Excellent computer skills
- Demonstrate professionalism in greeting the public
- Experience in office setting
- Knowledge of basic filing system
- Knowledge of administrative duties
- Excellent written and communication skills
- Able to work with minimal supervision
Duties and responsibilities:
- Professionally answer phone calls and greet visitors, ensuring a welcoming and efficient experience.
- Monitor which staff are in the building to ensure the in/out board is updated daily.
- Log and distribute incoming faxes to the appropriate staff members.
- Record and manage all incoming and outgoing mail.
- Oversee scheduling for the Community Hall, Band Office Boardroom, and other facilities.
- Maintain and manage office supply inventory to ensure adequate stock levels.
- Keep bulletin boards updated and organized with relevant and timely information.
- Ensure proper maintenance of office equipment, including the photocopier, fax machine, stamp machine, and shredder.
- Coordinate the ordering of in and paper stock for all photocopy machines.
- Perform typing and filing tasks as needed, Maintain a filing system.
- Help coworkers with miscellaneous tasks as required.
- Maintain and organized and efficient filing system for office records and documents.
- Generate statistical reports when requested.
- Draft and prepare letters and correspondence as required.
- Carry out additional duties as assigned or requested to support office operations.
- Prepare public notices regarding office closures.
- Help the membership on birth registrations. death certificates, status cards and status registrations.
- Reports to Indigenous Service Canada and Band Register changes.
- Create an electronic data filing system on the Band Listing.
- Provide stats when requested.
- Prepare letters when required.
- Perform other administrative duties when assigned.
