Position Summary:
Under the direct supervision of the medical service manager, the medical administrative coordinator will support communication with staff, clients and partners, scheduling of meetings, activity monitoring, and administrative functions. The ideal candidate will have excellent organizational and communication skills, ensuring that all project activities are on schedule and within scope. This role is essential in providing administrative support, maintaining accurate records, and facilitating the smooth execution of various projects and departmental functions. The medical administrative coordinator supervises the receptionist, travel clerk, custodians and the medical van drivers.
Qualifications/Requirements:
• Office/business administration education;
• Excellent interpersonal and communication skills with staff and clients.
Excellent computer skills; Ability to type accurately and efficiently (60wpm).
• Must have good organizational skills.
• Ability to communicate in Ojibway, Cree or Oji-Cree an asset.
• Valid CPR and First Aid.
• Valid Driver's License
. • Must pass criminal background check.
• Able to use cEMR for programing and input of data.
Duties and Responsibilities Administration:
• Serve as a point of contact for administration inquiries and communication.
• Facilitate communication between team members and stakeholders.
• Manage the scheduling and preparation for client meetings and visits.
• Prepare and present progress reports, briefs, work plans and other reports.
• Provide guidance and field experience for all staff members.
• Participates in the recruitment, hiring, orientation, training, evaluation and discipline of department staff.
• Review and evaluate staffing patterns to ensure efficient utilization of personnel including performing annual staff evaluations under his/her supervision.
• Develop and implement job descriptions for staff under his/her supervision and coordinate the appropriate revisions when necessary.
• Schedule and organize meetings, appointments, and events.
• Prepare meeting agendas, take minutes, and follow up on action items.
• Assist in the planning and coordination of projects from inception to completion.
• Monitor project timelines, milestones, and deliverables.
• Administrative Support Provide administrative support to manager:
• Record Keeping -Maintain accurate and organized records, including filing systems and databases.
• Perform data entry tasks to maintain accurate records.
• Manage and update contact lists, client databases, and other relevant records.
